Fleet Route Accounting - Cost by Geographical Route
Add the geographical route as a real cost dimension in your fleet accounting. When a trip is confirmed, this module quietly provisions the route's analytic account and tags fleet-service costs by route - so you can analyse cost and profitability route by route, right inside Odoo's standard Analytic Accounting, with no extra data entry.

This app adds one more cost dimension to your fleet accounting: the geographical route a trip follows. Once installed, confirming a trip quietly gives its route its own dedicated cost-tracking account, and every vendor bill for a route-linked vehicle service is split not just between the vehicle and the trip, but across Vehicle, Trip, and Route together - so you can see which routes are actually costing you the most, not just which vehicles or which trips.
Installation
Go to Apps.
Remove the default Apps filter and search for Fleet Route Accounting (technical name viin_fleet_planning_account).
Click Install - or simply install the two apps it builds on below, and Odoo activates this one automatically for you:
- Fleet Operations - route-aware trip planning and dispatch (see its own guide).
- Fleet Trip Accounting - Cost & Revenue by Trip - the per-trip accounting layer this app extends (see its own guide).
A third app, Route Cost & Revenue Accounting, is also required and installs alongside these automatically - it supplies the underlying Geographical Route analytic dimension.
Configuration
This app adds no configuration screens or settings of its own - everything below happens automatically the moment you confirm a trip or bill a route-linked service.
Access rights
Everyday use (confirming trips, logging services, billing vendors) only needs the fleet roles described in the Fleet Operations guide (Operator or Fleet Planning Administrator).
The screens that let you see this app's effect directly, however, all require a step up from the standard Billing access to full Accounting access ("Show Full Accounting Features"), granted by an administrator under Settings > Users & Companies > Users:
- Invoicing > Configuration > Analytic Accounting > Analytic Accounts - lists each route's own account directly, under the Geographical Route plan.
- Invoicing > Configuration > Analytic Accounting > Analytic Plans - shows the Geographical Route plan itself.
- The Analytic Items report and the Journal Items tab on a vendor bill - both show the Vehicle / Trip / Route cost split line by line.
If you only have standard Billing access, you can still do everything in the Usage section below - you simply will not be able to open the screens that display the route account and its cost split by name. Ask an administrator to raise your access if you need to review that reporting directly.
Usage
See a route get its own cost-tracking account when you confirm a trip
The first time a trip using a given route is confirmed, that route silently gets its own dedicated analytic account - no manual setup involved.
Open Fleet Operations > Trips > Planning.
Click a Draft trip that already has a Route assigned.
Click Confirm Trip in the statusbar. The trip moves from Draft to Confirmed.
Note
The route needs at least one waypoint to be confirmable - see Troubleshooting below. With full Accounting access, the new account appears by the route's name under Invoicing > Configuration > Analytic Accounting > Analytic Accounts, grouped under the Geographical Route plan (see Configuration above).
Bill a route-linked vehicle service and see the cost split across Vehicle, Trip and Route
When you bill a vehicle service that is tied to a trip, the cost is split across three accounts in one line - the vehicle's, the trip's, and now the route's too.
Open the confirmed trip and click the Services smart button (or go to Fleet Operations > Fleet > Services), then click New. Fill in Service Type, Vendor, and the cost under Unit Price. The Route field fills in by itself from the trip.
Save, then tick the new service row in the Services list.
From Actions, choose Create Vendor Bills.
On the Create Vendor Bills wizard, click Create and View Vendor Bills.
A draft vendor bill opens with one line for the service.
Click Confirm to post the bill.
Tip
With full Accounting access, open the Journal Items tab on the posted bill: the line's Analytic Distribution now spans three accounts - Vehicle, Vehicle Trip, and Geographical Route - each carrying its share of the cost, instead of only Vehicle + Trip as before this app was installed.
Review route-level costs in your accounting reports
With full Accounting access, the Analytic Items report lists every cost line by analytic account. Group or filter it by the Geographical Route plan to compare fleet costs by route the same way you already compare them by Vehicle or Trip - no extra setup needed, since every route-linked cost line already carries the Route tag from the moment it is posted.
Note
This screen needs full Accounting access (see Configuration above). If you only have Billing access, the cost split still happens automatically behind the scenes - you just cannot browse it by name yet.
Confirm existing trips were backfilled automatically after install
Installing this app does not leave older, already-confirmed trips behind - it retroactively creates the missing Route analytic accounts and re-splits already-posted vendor-bill costs for them too.
Open Apps and search for Fleet Route Accounting. Once installed, the card shows no Install button.
With full Accounting access, re-opening an older, already-posted vendor bill for a route-linked service shows its cost line's Analytic Distribution already carrying the Route dimension - historical reporting has no gap to fill in by hand.
Troubleshooting
- I confirmed a trip but cannot find its route's analytic account.
- That screen needs full Accounting access, not just Billing (see Configuration above). Ask an administrator to raise your access under Settings > Users & Companies > Users.
- The vendor bill's Journal Items tab does not show a Route column.
- That tab, and its Analytic Distribution detail, are only visible to users with full Accounting access.
- I get "You cannot confirm a trip which has no waypoint."
- That is an existing Fleet Operations rule, not something this app changes - the trip's route needs at least one waypoint before it can be confirmed. Add one, or pick a different route.
- Nothing seems to have changed after installing this app.
- The effect is intentionally invisible in day-to-day use - it only adds a reporting dimension. Confirm a trip and bill a linked service (see Usage above), then check the Analytic Items report with full Accounting access to see the Route dimension appear.
FAQ
- Do I need to configure anything before confirming my first trip?
- No - the Geographical Route analytic plan already exists once the required apps are installed, and each route's account is created automatically the first time it is used on a confirmed trip.
- Does every vendor bill for a fleet service get a Route split?
- Only service lines linked to a trip. A service with no Trip set is billed exactly as before - only vehicle-service lines that do carry a trip (and therefore a route) gain the extra Route dimension.
- What happens to trips and bills that already existed before I installed this app?
- They are backfilled automatically on install - see Confirm existing trips were backfilled automatically after install above.
